Collaborating with your team on estimates and keeping track of important details is easier than ever with ScanPay's internal Notes and Attachments feature. Whether you're adding internal comments or important customer details, you can ensure everyone stays on the same page. Here’s how to use notes effectively to collaborate on your estimates.
How to Add Notes with attachments to an Estimate
- Open the Estimate - Navigate to the Estimates section and open the estimate you want to add notes to.
- Click on Add Note to add any internal comments, instructions, or important information regarding the estimate. This could include things like follow-up reminders, details about the customer, or any custom requests related to the estimate.
- You can also add photos an attachment to the note by clicking on the paperclip icon
- Once you’ve entered your note, click Save. The note will now be visible within the estimate and can be accessed by any team members with permission.

Collaborating with Your Team
In addition to adding personal notes, ScanPay allows your team to collaborate seamlessly on estimates:
- Visibility for Team Members: All notes added to an estimate are visible to team members who have access to the estimate. This helps everyone stay aligned and informed without the need for back-and-forth emails or messages.
- History of Notes: You can review the history of all added notes in the History section of the estimate. This is useful for tracking changes, discussions, and any feedback from team members.

Things to Keep in Mind
- Internal Use Only: Notes are for internal use and will not be visible to the customer when you send the estimate. This allows you to discuss details or make remarks without affecting the customer’s view of the estimate.
- Editing Notes: You can always go back and edit your notes if necessary. Just click on the note to make changes.
Tip: If you need to track who added or edited a note, refer to the History section of the estimate. This will give you a log of all actions taken, ensuring transparency within your team.
